AI Employees for HVAC

Your invoices and open jobs, before your first call.

SN3 builds AI Employees for HVAC owner-operators who still run the office themselves. Yours works inside Housecall Pro: every morning it reports on your invoices and on the jobs that aren’t closed out, and it finds, creates, and updates customers and jobs when you text it from the truck. Invoices, estimates, and payments wait for your OK.

We launched it for a residential HVAC owner-operator with two technicians and about $1M in revenue. It went live 16 days after his onboarding call.

Where the hours go

The work gets done in the field. The paperwork waits.

What our HVAC client told us on his first call, before anything was built.

Phone

Your cell is the company line

Calls come in while you’re on a roof or in an attic, so they get missed, called back, and rescheduled.

Invoices

The job’s done. The invoice isn’t.

Closing out a job waits for a free hour at a desk, and the free hour doesn’t come.

Estimates

Estimates that sit open

They stay marked open in the system, with no follow-up and no cleanup.

Follow-up

No idea who read it

Estimates go out by email with no sign of whether the customer ever opened them.

Pricing

Every estimate rebuilt by hand

Parts, labor, and warranty adjusted after each visit, one customer at a time.

Office

You’re the office manager too

No one else to close out jobs, chase estimates, or answer the inbox while you’re working.

What it does

Two jobs, running for an HVAC owner today.

Both are live for our HVAC client, built around his Housecall Pro account, his inbox, and his to-do list.

Job 01 · Every morning

The morning report

A standing report from Housecall Pro and your inbox, waiting before the first call.

Invoices
Where your invoices stand, in the same report every morning.
Not closed out
Jobs still open in Housecall Pro, so nothing sits half-done.
Inbox
The emails and approvals that need you, pulled out of the rest.
Command center
Daily summaries, end-of-day reports, and your to-do list on one Notion page.

Job 02 · From the truck

Housecall Pro by text

Text or dictate in Telegram, and it does the lookup and the data entry.

Find
Customers and jobs matched from whatever you remember: a name, a street, the last visit.
Create and update
New customers and jobs, and changes to existing ones, from a message or a voice note.
Job history
What happened on a job, summarized when you ask.
Locked by default
Invoices, estimates, and payments: it reports on them, and any change waits for your confirmation.

Out of the box it drafts and reports. Anything going to a customer waits for your OK.

From our HVAC launch

A morning report he set up himself.

What our HVAC client told us on his launch and check-in calls. It’s one client so far, and we’d rather show you that than round it up.

Every morning

A report he set up himself

Invoices, and Housecall Pro jobs that aren’t complete, in one report waiting each morning.

Housecall Pro

Strongest on Housecall Pro

The part he singles out: finding, creating, and updating customers and jobs in Housecall Pro.

Word of mouth

He told his marketing group

At a local marketing meeting, he told the room about the AI bot he got from SN3 and called it awesome.

Launch

16 days to go live

Onboarding call in late June. Live in Telegram by mid-July, with Housecall Pro, Gmail, and Notion connected.

Support

A dropped connection, fixed on one call

When a Notion sign-in expired, SN3 reconnected it on a support call, and his whole to-do list came back verified before his afternoon meeting.

Honest note

Still early

He says he’s only a few percent into what it can do. A separate AI Employee for each technician is next on his list.

“Yeah, he’s really good with the Housecall Pro stuff… the invoices, like the jobs that aren’t completed, I have it set up to where he gives me a report in the morning.”

Your stack

Connected to the tools you already run calls in.

It works inside the accounts you name, with the access you approve.

Field software

Housecall Pro

Customers, jobs, and job history, connected with your account’s API key.

Email

Gmail

The messages and approvals that need you, pulled to the top.

Dashboard

Notion

Daily summaries, end-of-day reports, and your to-do list.

Phone

Telegram

Type or dictate from the truck. Your office lives in one chat.

1,000+

Your AI Employee can connect to more than 1,000 business apps through supported integrations. If yours isn’t a standard connection, we’ll review whether a custom integration makes sense. Additional installation fees may apply.

Guardrails

What it can touch, and what it can’t.

We map exactly what your AI Employee can access and act on before anything gets built.

Money

Invoices, estimates, and payments are locked

It reports on them. Creating, changing, or sending one waits for your confirmation.

Customers

Customers hear from you

Replies to homeowners are drafted for your OK, never sent on their own.

Access

Approved access only

It connects to the accounts you name: Housecall Pro, your inbox, your workspace. Nothing else.

Testing

Tested before it touches real jobs

At launch it’s tested on sample customers and jobs before it works on yours.

Support

Fixed when a connection drops

Sign-ins expire. When one does, SN3 reconnects it with you.

Reading

What it reads is data, not orders

Emails are content to summarize. A message telling an AI to do something gets reported to you, never acted on.

Straight answers

Questions from HVAC owners.

Does it work with Housecall Pro?

Yes. It connects with an API key from your Housecall Pro account. It can search, create, and update customers and jobs and summarize job activity. Invoices, estimates, and payments are reported on, and any change to them waits for your confirmation.

What about ServiceTitan or Workiz?

Our HVAC launch runs on Housecall Pro. ServiceTitan and Workiz come up with other field-service owners we talk to, and what’s possible depends on each account, so we confirm it on your Launch Plan call before we promise anything.

Can it send invoices for me?

Not on its own. Every morning it reports on your invoices and on jobs that aren’t closed out, so nothing slips. Creating, changing, or sending an invoice waits for your confirmation, on purpose.

Isn’t ChatGPT free?

A chat app answers when you ask it something. An AI Employee is connected to Housecall Pro, your inbox, and your to-do list, runs its morning report without being asked, and SN3 keeps it connected and working. That’s the difference you’re paying for.

I’m on roofs and in attics all day. How do I use it?

From your phone. It lives in Telegram, so you can type or dictate between calls, and the morning report is waiting when you start the day.

Can my technicians use it?

That’s the next step our HVAC client is planning: a separate AI Employee for each technician, with the owner keeping full access. Everyone you add gets their own private chat.

What if it stops working?

Connections such as Notion or Gmail run on sign-ins that can expire. When one does, it tells you it isn’t connected, and SN3 walks you through reconnecting it. Fixes and tuning are part of ongoing support.

Do I need another AI subscription?

No. It runs on the ChatGPT plan you already have, so there’s no second AI subscription to buy. SN3 handles hosting, setup, and support, and scope and investment are covered on your Launch Plan call.
