AI Employees for property management

An AI team for the owner-operator.

SN3 builds AI Employees for property management companies, working inside AppFolio, your inbox, and Notion. They triage the owner’s email, make bulk changes in AppFolio one property group at a time, start SOPs from the owner’s notes and review the team’s drafts, and draft for your approval.

Our launched property management client runs five, one for each part of her job, at a company with more than 500 doors. Here’s what’s working, and what we’re still tuning.

Where the hours go

Three years in, still in the weeds.

What our launched client and other property management owners told us about their own work.

Owner-operator

Still in the weeds

“I just haven’t had the time, the tools, the structure,” one owner said at her first consult. “… Three years later, I’m still in the weeds of managing portfolios.”

Inbox

The day starts in the inbox

“I unfortunately wake up and immediately look at my emails,” the same owner said, and she asked how to simplify “the 15 different methods that people can contact us.”

AppFolio

So many small updates

“There’s just so many little tasks and little updates we have to input into the system,” a property manager said. At her first consult, the owner added that many mass changes still needed a call to AppFolio support.

Training

Training that never ends

“I’ve had 19 property managers. That was god-awful because the training process is so cumbersome,” the same owner told us.

Accounting

Posted and attached by hand

56 housing-authority payments to post by hand, physical checks to post into AppFolio, and collections packets attached line by line.

Tools

Tools that never got used

“I’ve signed up over the last two years with too many tools I haven’t been able to use.” Another owner: “I have a Google sheet for anything and everything, which is a problem as well.”

The five

Five AI Employees, one for each part of the job.

Built for the owner-operator first, and added in stages from June to September. Here’s what each one does, with anything planned or still being tuned labelled.

The chief of staff

The owner’s inbox and calendar

In Telegram, connected to her Gmail, calendar, and Notion.

Inbox triage
Her inbox read and triaged, with items put on her calendar and emails drafted for her.
Daily summary
A summary of the day with the ten things that need her attention, flagged and organized.
Routing
Email that mentions a property manager, an address they manage, or their property group, forwarded to that manager from a directory she saved for it. Her verdict in July: “a little messy right now.”
From Notion to email
Emails written from material she drops into a Notion folder, often the AppFolio agent’s output.

The AppFolio agent

Bulk work inside AppFolio

Connected to AppFolio through its API, and run from Telegram.

Bulk updates
Maintenance notes updated across the portfolio: first on one property manager’s 30 doors, then on the other 400.
One group at a time
Mass changes run one property group at a time after a test, a pattern she says it has learned.
Work orders
By September, a standing automation that assigns property managers to work orders. She called it “a really good automation.”
Asks first
When she pushed it to create a journal entry, it said it needed her approval first. She told us: “that’s what I want.”
The SOP agent

SOPs from her notes, team drafts reviewed

She brain-dumps and it starts the SOP. When her team flags drafts they’ve written into Notion in their own Claude or ChatGPT, she has it review them against state tenancy law and a property management handbook before she approves them.

The lead-operations agent

Listings and reviews

Custom ShowMojo and BirdEye connections for listing performance and review alerts. Asked what it could run every day, it proposed a set of daily reports. She called the first three “really good” and plans to set them up for her team every morning.

The accounting agent

Reconciliation, still being tuned

After four days of back and forth, it produced the line-by-line checklist she needed for a bank reconciliation. It’s also the one that isn’t working well yet; the honest note below has the details.

Out of the box they draft and report. Anything going to an owner, a tenant, or a vendor waits for your OK.

From our property management launch

A slow start, then “I don’t want to live without her.”

What our property management client told us on her check-in calls. It’s one client so far, and we’d rather show you that than round it up.

Chief of staff · adoption

Two weeks to click

In mid-July she said she had it open and didn’t know how to use it. Two weeks later, after a working session: “Me and [my chief of staff] are getting locked in. I figured her out.”

Chief of staff · her role

Sorting out a new hire’s job

Interviewing for a human executive assistant, she found she’d already handed her chief of staff a lot of the inbox and calendar work, and started sorting out which jobs the new hire would own.

AppFolio agent

Out of the park

“Definitely [the AppFolio agent] knocked it out of the park,” she said, and asked how to give it to her whole team. On the same call, she said she was hesitant to.

AppFolio agent · the catch

Paced for AppFolio’s limits

Heavy use, most likely the 400-door update run alongside a report, made too many calls, and AppFolio paused access. Bulk work now runs one property group at a time.

SOP library

About 34 new SOPs

By September her library had about 34 new SOPs, “incredibly robust.” Much of the drafting now comes from her team, writing in their own Claude and ChatGPT into Notion. The SOP agent reads what they flag so she can review and standardize it.

Honest note

Accounting isn’t there yet

In November she said the accounting agent was “failing” her, and her own Claude caught mistakes in its reconciliation guidance. We rebuilt it that month with more AppFolio and QuickBooks actions, and it hasn’t been proven on her books yet.

She’s doing really great chief of staff stuff, really triaging my inbox, putting stuff on my calendar, looking at stuff, creating great emails.

Your stack

Inside the systems your doors already run on.

It works inside the accounts you name, with the access you approve.

Property management

AppFolio

Property notes, work orders, and owner records through AppFolio’s API. Some things aren’t in the API, like creating a property, and bulk jobs are paced for AppFolio’s rate limits.

Leasing & reviews

ShowMojo and BirdEye

Custom connections for listing performance, showings, and review alerts. Some data isn’t exposed by their APIs, so we confirm what your accounts allow.

Books

QuickBooks

For the operating account, next to trust accounting in AppFolio. The accounting agent works across both and is still being tuned.

Knowledge

Notion

The SOP library, and a shared place to hand work from one AI Employee to the next.

Email & calendar

Gmail and Google Calendar

The chief of staff works in the owner’s inbox and calendar.

Chat

Telegram and Roam

The owner works with hers in Telegram. Her team is set up to ask the lead-operations agent questions in Roam, their virtual office; team training is next.

1,000+

Your AI Employee can connect to more than 1,000 business apps through supported integrations. If yours isn’t a standard connection, we’ll review whether a custom integration makes sense. Additional installation fees may apply.

Guardrails

What it can touch, and what it can’t.

We map exactly what each AI Employee can access and act on before anything gets built.

Approvals

It asks before it writes the books

Financial entries, like a journal entry, wait for your approval.

Bulk changes

Tested on one group first

Mass updates run on one property group or one portfolio first, then the rest, paced so AppFolio doesn’t cut off access.

Money

It doesn’t move money

It can prepare checklists and flag differences. Reconciliation sign-off and payments stay with your people.

Team access

Read-only for the team first

Our client started with AI Employees for herself, then asked for read-only AppFolio answers for her team. We set that up in November, and team training is next. Write access is a decision you make role by role.

Drafts

Drafts first

Replies to owners, tenants, and vendors land as drafts and wait for your approval. Internal routing you set up, like forwarding an email to the right property manager, can run on its own.

Reading

What it reads is data, not orders

Emails and documents are content to summarize. A message telling an AI to do something gets reported to you, never acted on.

How to start

Start with the owner’s desk. Add the next one when it’s working.

Our property management client started with a chief of staff in June and added the rest over the next three months, a couple at a time.

  1. 01

    Book the Launch Plan

Fifteen minutes to pick the first AI Employee: usually the owner’s inbox, or one job in AppFolio.

    15 minutes
  2. 02

    Map the work

For bigger teams, a few working sessions to inventory your systems, your AppFolio access, and the jobs worth handing off.

    A few sessions
  3. 03

    SN3 builds it

We set it up on your accounts and test it on real work, starting with one property group. A standard role takes about two weeks; a new custom integration, like our AppFolio agent, took about two months.

    Two weeks and up
  4. 04

    Launch, then the next one

A live launch session connects its accounts. When it’s working, the next AI Employee gets built, and we keep maintaining all of them.

    Launch day

“That’s why I appreciate this type of engagement where we’re like actually working through it…”

Straight answers

Questions from property managers.

Does it work with AppFolio?

Yes, through AppFolio’s API with your account’s access. Our client’s AppFolio agent updates property notes, was assigning property managers to work orders on a schedule by September, and runs bulk changes one property group at a time. Some things aren’t in the API, like creating a property or ticking reconciliation boxes, so we confirm what your account allows on your Launch Plan call.

We already have Claude, ChatGPT, or AppFolio’s own AI. What does this add?

Your own AI chat is good for work you sit down and do. An AI Employee holds a job: it works inside your systems, runs on a schedule, and keeps going while you do something else. Our client uses both. In July she told one of her property managers an AI Employee was “better than going into Claude to have Claude doing it all.” By November she said she was in Claude and ChatGPT “80% of the time,” and we’re working with her on which jobs belong where.

Can it do our trust accounting?

Not on its own, and not reliably yet. Our client’s accounting agent produced the line-by-line reconciliation checklist she needed after four days of back and forth, but by November she said it was failing her, and her own Claude caught mistakes in its guidance. We rebuilt it that month with more AppFolio and QuickBooks actions. Until it’s proven on your books, reconciliation stays with your people.

Can it text owners and tenants?

Not on its own. Replies land as drafts for your OK. Texting through BirdEye or ShowMojo depends on what their APIs expose, so we check it for your accounts before we promise anything.

Can my property managers use it?

Yes, with the access you choose. Our client had hers built for herself first, as the owner-operator, and was hesitant to hand her AppFolio agent to the whole team. In November we gave her team read-only AppFolio answers through the lead-operations agent in their virtual office, and team training is next.

What if it gets something wrong?

It happens, and we tune it with you. An early prototype’s delinquency report came out far too high, and she spotted it right away. Her AppFolio agent sometimes forgot it had API access and asked her to upload reports instead, which she said we’d prepared her for up front. Drafts, approvals, and one-group-at-a-time tests are how a mistake reaches you before it reaches an owner.

Does it need ongoing maintenance?

Yes, and we do it. AppFolio and your other tools change, and so do the jobs you hand off. Our client put it this way: “you can’t just drop these in my lap and then we part ways.”

We don’t run on AppFolio. Does that work?

It can. What’s possible depends on your platform’s API access, so we confirm it on your Launch Plan call before we promise anything. Our AppFolio work is the furthest along.

Do I need another AI subscription?

Usually not. Your AI Employee can run on an AI plan you already pay for, such as ChatGPT, and switch to pay-as-you-go API usage if that plan runs out. Some clients run theirs on API usage alone. We’ll tell you which fits on your Launch Plan call, along with scope, setup, support, and investment.
